Join our family-focused, energetic, friendly team at Seattle Therapy Network! Seattle Therapy Network is a multi-disciplinary clinic focused on enabling every child. We are seeking a part time or full-time organized, caring, and team-oriented Administrative Assistant. 

The administrative assistant is primarily responsible for providing friendly and compassionate client services, including greeting clients, answering phones, setting appointments, handling client information, and managing insurance information. Candidate must be skilled in prioritizing, organizing, and working both independently and collaboratively.This position ensures a smooth and organized client and provider experience in administrative aspects of the office.


Duties are included but are not limited to:

  • MedicalInsurance Navigation:gaining pre-authorizations/referrals for clients, verifying insurance coverage, sending invoices to families.

  • Client Customer Service:greeting clients and all duties associated with front desk and reception responsibilities including scheduling, assisting with new intakes and referrals, answering and responding to phone messages, faxing, corresponding internally and externally, collecting patient payments.

  • General office administrative:duties including managing electronic medical record information, inventory/ordering supplies, light bookkeeping, database support, filing, scanning, light housekeeping, assisting with new hires, supervising interns, updating HIPAA compliance documents, communicating with community partners, light social media support, assist with various projects as needed.

Required Characteristics

  • Minimum 2 years of administrative support in medical field

  • Excellent people skills and positive, kind attitude. Genuine enjoyment of interfacing with children, families, and staff.

  • Self-motivated, proactive, and able to problem-solve.

  • Outstanding phone, written, and oral communication.

  • Detail oriented, organized, and ability to follow-up.

  • Strong computer literacy including Microsoft suites, Google products, social media platforms, Quickbooks online.

  • Ability to ensure patient privacy and confidentiality.

  • Desire for ongoing learning and training.

Desired Characteristics

  • Basic understanding of ICD-10 and CPT coding.

  • Experience with Electronic Medical Records

  • Post High-school Degree/Certificate

  • Experience in medical office.

  • Technologically driven

  • Experience with children with special needs
