Our Policies ~ The Nitty Gritty

Financial policies

Seattle Therapy Network is made up of two collaborative businesses: Giant Steps Children’s Therapy and Sound Pediatric Therapy. You’ll be billed by the individual business/es you worked with, not by Seattle Therapy Network.

Each business has independent financial policies and may accept different insurance plans. Please ask if you have any questions about our fees, financial policy, or your responsibilities. No matter what your economic situation, we’ll do our best to help.

Insurance policies

There are so many insurance carriers and different plans, it can be tough to know what yours will cover.

Check out our  worksheets that help you navigate the basics of your insurance plan.  These worksheets will help answer questions about deductibles, plan limits, whether you will need prior-authorization to begin services, and more.

We do our best to work with a wide variety of carriers. We’re contracted providers for most major insurance companies, and will submit claims on your behalf. Bear in mind that Giant Steps Children’s Therapy and Sound Pediatric Therapy will bill your carrier independently.

Please review our full financial policies for complete details about your responsibility.

Snow and extreme weather

The clinic is open except in cases of severe weather conditions requiring businesses to close. You can check our facebook page for up-to-date information on closures. In most cases we follow the lead of Seattle Public Schools. If you do not wish to travel because of poor road conditions, you may cancel your treatment session without penalty.

Privacy and patient rights

Your privacy is very important to us. We use a HIPAA safe network to ensure easy communication, and peace of mind. Federal regulations require that health care providers describe for clients the circumstances in which therapy and medical information may be used and disclosed, and how you can access this information. We’ll discuss all this at your first visit but you can review it here:

Cancellation Policy

Patients are required to maintain a 75% attendance rate for scheduled appointments. Clients who drop below 75% for two
consecutive months, at the discretion of Seattle Therapy Network management, will be discharged from the
therapist’s caseload.

To avoid a late cancellation fee, please provide a minimum of 24-hour notice by calling the office or emailing your
therapist. Advance notice allows your therapist time to reschedule the appointment for another child in your
child’s absence.

• Less than 24-hours: I understand that for sessions canceled with less than 24-hour notice, a cancellation
fee of $75 will be charged. I understand that I may be provided with an opportunity to reschedule the cancelled session if an opening is available. If the opportunity to reschedule is available and I cancel the rescheduled
appointment, I am responsible for the $75 fee regardless of reason. I understand that if sessions are
canceled with more than 24-hour notice, I will not be charged a cancellation fee.

• No Show: I understand that if we do not cancel and do not keep a scheduled appointment, we will be
charged the full $160 fee for the session. I understand that make-up sessions may only occur if the
therapist is available.

Sick Policy

To keep all of our families and children healthy, we kindly ask that clients and their caregivers stay out for 24-hours when you observe the following:

  • Fever: Temperature of 100 degrees Fahrenheit (38 degrees C) or higher. Individuals need to be fever free for 24 hours before returning to the clinic without medications to reduce the fever.

  • Diarrhea: 2 or more watery stools in 24-hour period.

  • Vomiting: 2 or more times in 24-hour period.

  • Lice: All live bugs/knits must be removed from hair and hair must have been treated.

  • Cough: Persistent cough of greater than 2 weeks with discolored discharge from eyes and/or nose.

  • Eyes: Drainage, vision change, redness of the eyelid, itching, pain and/or sensitivity to light may be a sign of “pink eye” (conjunctivitis) and the individual should be checked by a physician.

  • Rash: Bothersome body rash, especially with fever or itching, may spread to others and should be checked by a physician.

  • Unusual Behavior: Please consider your child’s appearance and behavior, such as if they are unusually tired, pale, hard to wake, or confused.

For the safety of our staff and other families, if an individual at the clinic arrives with any of the above conditions or was reported to have these symptoms in the last 24 hours, you will be asked to reschedule therapy or pay the $50 late cancellation fee.
